Refund & Cancellation Policy

At Rolo’s Road Trips and Icelandic Junkie, every experience is carefully planned with transport, accommodation and third-party services secured in advance. Due to the nature of travel bookings and limited availability, our refund terms vary depending on the type of trip booked.

By booking with us, you agree to the terms below.

1. Day Trips (UK Walking, Adventure & Airport Transfers)

All day trips are non-refundable.

Seats are limited and operational costs are committed in advance (vehicle allocation, fuel, planning and administration). Once payment is received, your place is secured and cannot be refunded.

If you are unable to attend:

You may transfer your seat to another suitable person (advance notice required).

If we are able to fill your place from a waiting list, we may offer a discretionary credit. This is not guaranteed.

If We Cancel

If a trip is cancelled due to insufficient numbers, severe weather, safety concerns or unforeseen operational circumstances, you will receive:

A full refund, or

The option to transfer to a future trip

2. Multi-Day UK & Iceland Trips

These trips include accommodation, transport, planning and third-party services.

Deposits

Deposits are non-refundable, as accommodation and services are secured immediately upon booking.

Instalment Payments

Where payment plans are offered, instalments are non-refundable once paid.

Cancellations by You

60+ days before departure – Refund minus deposit

30–59 days before departure – 50% refund (excluding deposit)

Less than 30 days before departure – No refund

We strongly recommend comprehensive travel insurance to cover illness, emergencies or personal circumstances.


3. Weather & Natural Conditions (Including Iceland)

Some destinations, particularly Iceland, are subject to unpredictable conditions. Changes may occur due to:

Road closures

Volcanic activity

Extreme weather

Safety considerations

Where itinerary changes are necessary for safety reasons, this does not qualify for a refund if the trip continues in an adjusted format.

Aurora Borealis sightings are never guaranteed and are not grounds for refund.

4. Failure to Attend

If you do not arrive at the agreed meeting point at the agreed time, no refund will be issued.

5. Illness or Emergency

If you are unable to travel due to illness or personal emergency:

Refunds will only be considered if we are able to resell your place.

Travel insurance should cover most cancellation scenarios.

6. Financial Protection & Client Funds

Client monies for applicable bookings are held and managed in accordance with recognised travel industry protection standards.

Eligible package holidays booked with Rolo’s Road Trips are protected through our Protected Trust Services (PTS) trust account, ensuring customer funds are safeguarded and used only for the delivery of your holiday.

This arrangement provides transparency, financial protection, and peace of mind for our travellers.

Day trips and transport-only services are not covered under this protection.

8. Refund Processing

Approved refunds will be processed within 7–14 business days to the original payment method.
